And to make it even more challenging, every school needed a different set of books.

That was the challenge we faced when shipping NCD & BTU books for Perum Percetakan Negara Republik Indonesia (PPNRI).

Our mission was straightforward: ensure every book arrived at its destination safely and on time.

Sounds simple enough, but in the logistics world, there are always surprises on the ground.

From flooding that cut off access routes, to documents that had to be verified one by one, to ensuring every item was packaged with clear markings so nothing got mixed up.

From accurate sorting systems and document verification for each shipment, to packaging strategies that prevented mis-distribution. On top of that, external factors like weather and road conditions could impact smooth delivery at any moment.

Shipping Challenges

In the world of logistics, thorough planning is essential. But there's one thing you always have to anticipate: conditions on the ground rarely match what was planned.

One of the biggest challenges in this project was access to several areas affected by flooding.

Several main roads that would normally accommodate four-wheeled vehicles suddenly became impassable. When that happens, deliveries can be delayed — and in a project of this scale, even the smallest delay can have a significant impact.

Beyond that, there was something that often gets overlooked: administrative documentation.

Each book shipment required detailed document checks — from package contents lists and delivery destinations to permit completeness. With distribution spanning 30 provinces, this process had to move quickly while remaining accurate.

Then there was one final challenge that might seem minor but could become a serious problem if not handled properly: each school received a different type of book.

Without a clear marking system, packages could easily get mixed up — meaning re-deliveries that would cost additional time and money.

Shipping Solutions

After taking stock of the various on-the-ground challenges, our team moved quickly to find solutions that could address them all.

1. Alternative Delivery Routes

One of the first things we did was identify alternative handover points in flood-affected areas. We could no longer rely on large vehicles to reach certain locations, so we coordinated with recipients at sites unaffected by the flooding.

Our team and the recipients had to meet at the boundary of still-accessible areas to ensure goods arrived within the promised timeframe. This required a high degree of flexibility, as we had to adapt continuously to field conditions.

Given the high shipment volume and the variety of goods that needed to reach the right destinations, our administrative team was divided into several groups. Each group handled dedicated documentation for a specific delivery destination, allowing the verification process to move faster without anything falling through the cracks.

This was critical, because complete and accurate documentation is the single most important factor in preventing shipment delays.

3. Marking & Verification System

So we deployed a dedicated checker team to ensure every outgoing item matched the manifest and was packaged with clear markings.
